How Precision Operations Group collects, uses, discloses, and safeguards personal information collected through this website and the client portal.

Last updated

Precision Operations Group LLC (“POG”, “we”, “us”) respects the confidentiality of information entrusted to us by prospective clients, clients, candidates, and visitors. This policy describes the personal information we collect through this website and our client portal, the purposes for which we use it, the parties with whom we share it, and the rights available to you.

1. Scope of this policy

This policy applies to personal information collected through precisionoperationsgroup.com and any POG-operated client portal. It does not apply to information we process on behalf of a client under a services agreement, where the client is the controller of that information and its own privacy notice governs. It does not apply to third-party websites we link to.

2. Information we collect

We collect only what is necessary for the purpose it is collected for. You are not required to provide personal information to browse the public pages of this site.

Information you provide

  • Contact form — name, email address, telephone number (optional), company or property name, and the content of your message.
  • Request a quote — the above, plus facility type, approximate square footage, service frequency, services of interest, budget range, desired start date, and any notes you choose to include.
  • Careers application — name, contact details, position of interest, résumé or CV, and any supporting information you submit.
  • Client portal — account credentials, site and scope records, inspection results, work orders, and correspondence associated with your account.

Information collected automatically

  • Server logs, including IP address, user agent, referring page, and timestamps, retained for security and diagnostic purposes.
  • Strictly necessary cookies required for page delivery and, for signed-in users, portal session management. See our Cookie Policy for detail.

We do not knowingly collect special categories of personal data — such as health, biometric, or precise geolocation information — through this website, and we ask that you do not submit such information through our forms.

3. How and why we use information

  • To respond to inquiries, prepare scoped proposals, and conduct pre-contract discussions.
  • To deliver contracted services, including scheduling, inspection reporting, and account management.
  • To operate, secure, and improve this website and the client portal.
  • To evaluate applications for employment or contractor engagement.
  • To comply with legal, regulatory, insurance, and contractual obligations.
  • To establish, exercise, or defend legal claims.

Where applicable law requires a stated basis for processing, we rely on: performance of a contract or steps taken at your request before entering one; our legitimate interests in operating and securing the business, balanced against your rights; compliance with a legal obligation; and, where none of those apply, your consent, which you may withdraw at any time.

4. We do not sell your personal information

POG does not sell personal information, and does not share personal information for cross-context behavioral advertising, as those terms are defined under applicable United States privacy statutes. We do not use information submitted through this site to build advertising profiles.

5. Disclosure to third parties

We disclose personal information only in the circumstances below, and only to the extent necessary.

  • Service providers acting on our instructions — for example hosting, email delivery, and document storage — under written terms restricting their use of the information to providing that service.
  • Professional advisers, including legal counsel, accountants, and insurers, where necessary and subject to confidentiality obligations.
  • Government authorities, regulators, or litigants where disclosure is required by law, court order, or lawful process, or is necessary to protect our rights or the safety of others.
  • An acquirer or successor entity in connection with a merger, acquisition, financing, or sale of assets, subject to this policy continuing to apply to the information transferred.

6. Data retention

We retain personal information for as long as necessary for the purpose it was collected, and thereafter only where required to meet legal, tax, insurance, or contractual obligations, or to resolve disputes.

  • Inquiry and proposal records — retained for the duration of the discussion and a defined period afterwards to support follow-up and record-keeping.
  • Client account and service records — retained for the term of the engagement and the period required by our record-retention and insurance obligations.
  • Unsuccessful applications — retained only as long as necessary to evidence a fair process, unless you consent to being kept on file.
  • Server logs — retained for a short operational period, then deleted or aggregated.

Specific retention periods are set out in our internal retention schedule and are available on request.

7. Security

We maintain administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, alteration, disclosure, or destruction. These include encryption of data in transit, access controls limiting information to personnel who require it, and periodic review of our processing arrangements.

No method of transmission or storage is completely secure, and we cannot guarantee absolute security. Please do not send sensitive information such as payment card details, government identifiers, or account credentials through our website forms or by unencrypted email.

8. Your rights and choices

Depending on where you reside, you may have some or all of the following rights:

  • To confirm whether we process your personal information, and to obtain a copy of it.
  • To correct inaccurate or incomplete information.
  • To request deletion, subject to exceptions where we are required or permitted to retain it.
  • To obtain a portable copy in a structured, commonly used format.
  • To opt out of the sale or sharing of personal information, and of profiling with legal or similarly significant effects. As stated above, we do not engage in these activities.
  • To withdraw consent where processing is based on consent.
  • To appeal a refusal of a request, and to complain to your supervisory authority or state Attorney General.

To exercise a right, contact us using the details below. We will verify your identity before acting, and will not discriminate against you for exercising a right. An authorized agent may submit a request on your behalf with written proof of authorization.

9. Automated decision-making

We do not make decisions producing legal or similarly significant effects about you based solely on automated processing, and we do not use automated screening to reject job applications without human review.

10. Children

This website is directed to businesses and professionals and is not intended for children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will delete it.

11. Visitors outside the United States

POG operates in the United States, and information submitted through this site is processed there. Privacy laws in the United States may differ from those in your jurisdiction. If you access this site from outside the United States, you do so on your own initiative.

12. Changes to this policy

We may update this policy to reflect changes in our practices or in applicable law. The date at the head of this document indicates when it was last revised. Where changes are material, we will give prominent notice on this website and, where required, seek your consent.
